Position Overview: The Medical Practice Manager is responsible for managing the daily operations of an outpatient medical center. The role is responsible for developing & inspiring a multi-disciplinary team to succeed in an LGBTQIA+ affirming environment. Clinic managers are experienced administrators who address issues, improve operations and patient experience, increase patient access, & cost-effectively manage operations.
Job Duties & Responsibilities: - Collaborate with upper management, providers, patients, vendors, regulators, & agency partners to ensure the growth & financial success of the practice
- Manage the tactical execution of objectives through the coordination of activities with a direct responsibility for results, including costs, methods, & staffing
- for compliance with applicable federal, state, & local laws & regulations
- Act as the Ryan White Medical Administrator
- Address issues raised by providers, employees, & patients & seeks out appropriate leaders or partners to problem solve & process improve.
- Comply with all data collections & auditing activities
- Manage & control expenditures, billing & collections, & inventory
- Develop operational processes & monitor patient care standards
- Review & update forms used in the practice & standardize when possible
- Manage staff attendance, schedules, payroll, counseling, discipline, & related concerns
- Prepare & present financial, statistical, & analytical reports
- Oversee accurate revenue cycle management for patients & insurance carriers
- Maintain working knowledge of all processes & responsibilities of staff
- Report maintenance & equipment problems & arrange for service as needed
- Manage staffing by LabCorp & address issues with vendor management
- Manage & monitor the 340B program to ensure the accurate capture of essential data
- Maintain an updated 340B pharmacy listing & work to improve its ease of use
- Ensure practice & provider credentials & licensures are accurate & current
- Utilize policies & good judgment to establish limits to autonomous decision making
- Anticipate potential internal & external concerns & provide potential solutions
Job Requirements & Qualifications: - B.A. in health management/administration, nursing, or business administration is preferred
- Experience managing complex organizations or projects involving diverse teams
- 3 to 5 years’ supervisory experience in a medical clinic front office
- Knowledge of eClinicalWorks or a similar EMR is required
- Medical Assistant experience is an asset
- Strong interpersonal & communication skills to effectively communicate patient information, staffing concerns, agency positions & policies to staff & others
- Strong analytical skills to understand & explain healthcare regulations, medical codes & terminology, diagnoses, medications, treatment plans & how they relate
- Strong technical skills to operate & navigate healthcare software, apps, & new technology, as well as office & medical equipment
- Detail-oriented to ensure accuracy in provider coding & progress notes, patient profiles, billing, internal accounting, 340B details, & Ryan White regulations.
- Networking skills to build positive working relationships with key stakeholders
- Ability to effectively analyze complex business issues/problems & lead/influence individuals & groups in developing & implementing successful resolutions
